AsapFeed is operated by Yevo LLC, a Wyoming limited liability company. We provide an AI-powered voice receptionist service for independent medical practices. This Privacy Policy explains how we collect, use, and protect information when you use our services at asapfeed.com.
2. HIPAA Compliance
AsapFeed is designed to be compliant with the Health Insurance Portability and Accountability Act (HIPAA). We act as a Business Associate to covered entities (medical practices) that use our service. We enter into a Business Associate Agreement (BAA) with each practice prior to handling any Protected Health Information (PHI). Our infrastructure partners including Retell AI for voice processing have also executed BAAs where required.
3. Information We Collect
We collect the following types of information:
- Practice Information: Name, address, phone number, email address, and EHR account credentials via secure OAuth
- Call Metadata: Call timestamps, duration, and outcomes. We do not store call recordings or transcripts containing PHI in our own databases.
- Call Recordings and Transcripts: Stored securely by Retell AI under their HIPAA compliant infrastructure and BAA. Accessible to practice admins through the AsapFeed dashboard.
- Account Information: Admin name, email address, password (hashed), and billing information
- Usage Data: Dashboard activity, feature usage, and analytics
4. How We Use Your Information
We use collected information to:
- Provide and improve the AsapFeed service
- Book, reschedule, and cancel appointments on behalf of patients
- Display call history and analytics in your dashboard
- Send service related communications
- Process billing and payments
- Comply with legal obligations
5. Protected Health Information (PHI)
PHI processed through AsapFeed such as patient names, dates of birth, and appointment details is handled in accordance with HIPAA requirements. PHI is:
- Processed in real time to facilitate appointment booking
- Stored by Retell AI under a signed BAA
- Written directly to your EHR system
- Never sold, rented, or shared with third parties for marketing purposes
6. Third Party Services
AsapFeed uses the following third party services that may process data on our behalf:
- Retell AI: voice processing, call recordings, transcripts (HIPAA BAA in place)
- Supabase: database and authentication (non-PHI data only)
- Stripe: payment processing (no PHI)
7. Data Security
We implement industry standard security measures including:
- AES-256 encryption at rest
- TLS encryption in transit
- Role based access controls
- Regular security audits
- HIPAA compliant infrastructure
8. Data Retention
- Call metadata is retained for 12 months
- Call recordings and transcripts are retained per Retell AI data retention policy
- Account data is retained for the duration of your subscription plus 90 days
- PHI is not retained beyond what is necessary to complete the requested transaction
9. Your Rights
As a practice administrator you have the right to:
- Access your account data at any time
- Request deletion of your account and associated data
- Export your call history and metadata
- Revoke EHR OAuth access at any time
10. Business Associate Agreement
By using AsapFeed you agree to execute a Business Associate Agreement with Yevo LLC prior to processing any PHI through our service. Contact support@asapfeed.com to request your BAA.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes via email or a notice on our website.
